Softclue Community Impact Hub ("we", "us", "our") is the data controller for the personal information collected through our website and programme registration forms. We are operated by Softclue Data Empowerment CIC.

We collect personal data such as name, date of birth, contact details, postcode, emergency contact information, gender, ethnicity, school or college details, medical notes, accessibility needs, and programme participation records. For applicants under 18, we also collect parent or guardian contact details and consent information.

Why we collect your data

We process your personal data to:

• Register you for the Digital Skills & Gaming Programme
• Manage your participation, attendance, and progress
• Ensure your safety and wellbeing during sessions
• Comply with our funding and reporting obligations to EMCCA
• Communicate with you about programme activities

Who we share your data with

Your personal data will not be sold or shared with any other third parties. EMCCA (East Midlands Combined County Authority) may access anonymised attendance and outcome data for programme monitoring, evaluation, and reporting purposes only. We do not share personally identifiable information with EMCCA unless you have explicitly consented to data sharing.

How long we keep your data

We retain your personal data for as long as necessary to fulfil the purposes for which it was collected, including any legal, accounting, or reporting requirements. Typically, this is for the duration of your participation in the programme plus up to three years.
